For a cutting-edge U.S.-based IT solutions provider, cooperation between systems is paramount to efficient international operations. In operating hundreds of internal/legacy systems across more than 60 countries, this company saw data automation as a great tool to collect, update and store information on a company’s operations. But what happens when the organization relies on manual data entry done by processing clerks?

The provider needed to assure cooperation across all systems, including HR. The company looked to NTT DATA’s MuleSoft experts for help.

Business Needs

Having tedious and faulty manual procedures in even a few systems is unacceptable in the modern API world. In human resources, for example, new employees need to be registered in many systems (ticketing, invoicing and claims management, among others). The same is true when an employee’s information needs to be updated or upon termination. These changes need to be propagated across all related systems to see that all teams function as designed.

To solve this challenge, the provider needed better connections between internal and external systems, as well as an integration process that followed best practices.

Outcomes

8 weeks to automate eight integrations
  • Interconnects all data systems
  • Ensures security of critical data
  • Fully automates HR data management with only occasional quality checks
  • Allocates HR assets and budgets more effectively to focus on strategic areas

Solution

Prior to working with NTT DATA, the services provider lacked a well-defined data system, because processing in systems for company-wide HR, ticketing and invoicing for external providers was handled manually by processing clerks. This approach resulted in staff members copying files between network drives line by line — a practice prone to human error, typos and low process performance.

To solve this obvious disconnect, teams from both companies worked together to create a seamless transition process that would ensure critical data such as payroll and invoices was secure while streamlining the manual tasks to a fully automated system using MuleSoft.

Unique API-led cloud-based architecture

The NTT DATA team presented a unique API-led cloud-based architecture that would assist with connections between the provider’s internal/legacy and external systems while following integration best practices. Hosted in MuleSoft CloudHub, the three-layered API approach interconnects all the systems that, for example, HR needs for an efficient, streamlined process.

Now, when a new user is added to the main HR system, API orchestration propagates this information across all designated members of the integration and all systems connect using modern best practices. With these improvements, the provider expects their HR department to be able to perform more enriching tasks. At the same time, the thoroughness of the items processed should increase, as well as the quality and homogeneity of the data to be exchanged by the HR systems.

Organization-wide optimal performance

As a crucial department to any organization, HR data management is key to ensuring optimal organization-wide performance. Over an eight-week period, the teams developed and fully automated eight integrations to replace tasks previously performed manually. Now, the provider’s HR data needs only occasional management and quality checks by staff members.

By creating an automated data management process using MuleSoft, the provider can allocate their assets and budget more effectively. And focus on HR strategy, not data entry.
